Do you have a proper strategy for e-mail addresses?

You need one that is convenient, easy to remember and minimises spam. But you also need one that is very much to you, your family or your company's advantage :-

  • A Good Domain Name

    Everything should be built on good foundations. Your domain name is your foundations on the Internet, so choose it well, as if you get it wrong, then changing it might not only be very inconvenient, but also quite costly.

    As domain names are not expensive, costing only a few pounds a year, then register others that you feel you might want to use if they are available.

  • Develop an E-Mail Address Strategy

    Most companies use names like James, James.Miller or JamesMiller as prefixes for the domain name to create e-mail addresses.

    Why not use all? In most cases you should, except where in a larger organisation, you would be unlikely to use just James. The name is just a bit common for a first name.

  • Should E-Mail Addresses be Easily Guessed?

    In general. Yes! Why Not?

    I know of seriously famous people, who have e-mail addresses that are very easily determined. They don't seem to have a problem as they have probably installed sensible anti-spam systems.

    On the other hand, suppose someone wants to contact you urgently and they don't have their address book handy. Then if you have a sensible address strategy, the message will probably get through.

  • Secondary E-Mail Addresses

    I would also give everybody a short list of secondary e-mail addresses that can be used for groups and lists, so that their main e-mail address is not compromised by spammers. These would be setup to forward directly to the main address.

  • Customer or Client E-Mail Addresses

    Have you ever thought about giving each customer or client a specific e-mail address, with which they must communicate with your company?

    The organisational advantages of this are great, in that e-mails can always be forwarded to the appropriate person who has all the information needed to answer the message. Systems can also be setup to store any messages containing this e-mail address in a suitable place on a secure server.
